¶ Automated Maintenance Alerts
This feature helps vehicle owners and administrators keep track of maintenance for all vehicles in the polygon project. The system is designed to make sure that vehicles are serviced on time, improving their performance, safety, and saving money in the long run.
-
Setting Up Service Reminders:
- Personalized Reminders: Users can set up reminders for when vehicles need maintenance. These reminders can be based on how many miles the vehicle has driven, how many hours the engine has been running, or just after a certain amount of time (like every 6 months). This way, maintenance is done according to how the vehicle is used.
- Different Reminder Options: The system lets you choose the type of reminder that suits your vehicle’s needs, whether it’s based on miles, engine hours, or time. This is useful for different types of vehicles that might need different kinds of maintenance.
- Automatic Alerts: Once a reminder is set, the system will automatically notify you when it’s time to service the vehicle, helping you avoid missing important maintenance tasks.
-
Updating Service Details:
- Keep Records Up-to-Date: After a service is done, users can update the system with the latest information, like how many miles the vehicle has driven, how many hours the engine has been running, or the date of the service. This keeps your records accurate and helps in tracking the vehicle’s maintenance history.
- Past Services Log: The system keeps a history of all the services done, which you can review anytime. This helps you understand your vehicle’s needs over time and plan future maintenance.
-
Helpful Reports:
- Detailed Reports: The system creates reports that show everything about your vehicle’s maintenance, like what service was done, when it was done, and how much it cost. These reports help you keep track of all the important details.
- Customizable Reports: You can adjust the reports to show exactly what you need, like services done in the last month or costs for a specific vehicle. This makes it easier to find the information you’re looking for.
- Easy Sharing: Reports can be saved and shared in different formats (like PDF or Excel) so you can easily send them to others or keep them for your records.
-
Dashboard Summaries:
- Quick Overviews: The dashboard shows a quick summary of important maintenance information, like upcoming services, the maintenance schedule, and the overall health of your vehicles. This helps you see the big picture at a glance.
- Interactive Dashboard: You can click on different parts of the dashboard to get more details. For example, clicking on a reminder might show you which vehicles need service soon.
- Up-to-Date Information: The dashboard is always updated, so you’re looking at the most current information about your vehicles.
-
Viewing Service History:
- Upcoming Services: You can see a list of all the upcoming services for your vehicles, so you know what’s coming up and can plan accordingly.
- Past Services: The system also shows a full history of all the services done on each vehicle. This includes details like what was done and when it was done, which helps you understand your vehicle’s past and future needs.
- Easy Searching: You can search and sort through the service history to find exactly what you need, like a service done on a specific date or for a specific vehicle.
-
Managing Service Categories:
- Flexible Management: Administrators can create, edit, or delete categories for different types of services, making it easier to organize maintenance tasks. For example, you might have categories like "Engine Check," "Brake Service," or "Tire Rotation."
- Consistency Across Vehicles: By managing these categories centrally, administrators ensure that all users follow the same guidelines for maintenance, keeping everything consistent across the fleet.
- Controlled Access: The system can be set up so that only certain people can make changes to these categories, ensuring that only authorized users can update them.
-
Managing Service Reminders:
- Centralized Management: Administrators can see, edit, or delete reminders for all vehicles from one place. This is especially helpful for managing a large number of vehicles without having to go into each one individually.
- Batch Updates: The system allows administrators to update reminders for many vehicles at once, saving time and effort, especially when new maintenance schedules are introduced.
- Track Changes: The system keeps a record of all changes made to reminders, so you can see who did what and ensure everything is in order.
-
Service Reminders Not Working:
- Problem: Reminders are not showing up as expected.
- Solution: Make sure the right type of reminder (miles, engine hours, or time) is set and that the details are correct. Double-check that the last service information is up-to-date.
-
Incorrect Report Data:
- Problem: Reports don’t show the right information.
- Solution: Check that all the service details are entered correctly, like the last service date and the number of miles. Ensure reminders are current and there are no mistakes in the data.
-
Dashboard Not Updating:
- Problem: The dashboard isn’t showing the latest information.
- Solution: Refresh the dashboard to make sure it shows the latest data. If the problem continues, check for any system updates or issues with syncing data.
-
Can’t Edit or Delete Reminders:
- Problem: Users are unable to change or remove reminders.
- Solution: Make sure you have the necessary permissions to edit or delete reminders. If you do and still can’t make changes, there may be a system issue—contact support if needed.
-
System Slowdowns:
- Problem: The system is slow when handling a lot of maintenance data.
- Solution: Consider organizing data better by archiving old records or breaking down large amounts of data. Regularly clear the system’s memory to keep it running smoothly.
-
Admin Screens Not Loading:
- Problem: Admin screens aren’t opening properly.
- Solution: Check for network issues or system problems. Try clearing your browser’s cache and cookies, or use a different browser. Contact IT support if the issue persists.
-
Incorrect Service Categories:
- Problem: The categories are wrong or out of date.
- Solution: Review and update the service categories as needed. Make sure all changes are saved and double-check for accuracy.
-
