You see one of these:
- The side menu has no AI Assistant entry.
- Opening the AI Assistant shows "Un-authorized action".
- A grey banner says "The AI Assistant is switched off for your organisation. Your administrator can turn it on in the account's AI settings."
- A yellow banner says "The AI assistant is not configured for this environment yet. Contact your administrator to enable it."
- A chat answers with a message about credits, or the composer says "This chat is full. Start a new chat to carry on."
- Your role does not include the AI Assistant
- It is switched off for your organisation
- It is not configured for this environment
- The monthly credit limit is reached
- The chat is full or the message is too long
To open the AI Assistant you need Use AI Assistant. The built-in Owner role has it. Without it, the menu entry is missing, and the screen says "Un-authorized action".
Fix
- Ask the Owner of your account to add Use AI Assistant to your role.
See Un-authorized action, or you cannot change an item.
AI Assistant enabled in the account's AI Assistant section switches it on or off. Turning it off also turns AI off for every account below. While it is off, no agents or conversations load, and the menu entry disappears once the app knows.
Check
- Ask an administrator to open your account's form, in the AI Assistant section.
- Read the state: Enabled, Disabled here, Disabled by a parent account, "Suspended", or Not granted. "Enabled — own provider" means the account runs AI on its own default provider key, whatever the account above set.
Fix
Users with Manage AI Assistant Settings on the account above yours apply the fix:
- Turn on AI Assistant enabled for your account.
- If it says Disabled by a parent account, the parent turns it on first.
- If it says "Suspended", the platform suspended AI for the account. Contact support@getgps.eu.
See AI Assistant limits and data privacy.
AI is on, but no provider serves your account. The agent cards still show, but a chat cannot answer.
Fix
- An administrator sets up a provider in LLM Providers.
See LLM Providers.
- The account above yours grants it to your account in its AI Assistant section, with LLM provider and Model.
If your account added its own key, AI turns on once that key is enabled and set as Default. A key needs a default model before it can be the default. See LLM provider form.
If a provider is set up and granted, and the banner stays, the cause is on the platform side. Contact support@getgps.eu.
Each organisation has a monthly allowance of AI credits, shared by all its users. AI usage · this month on the AI Agents screen shows the credits used and the limit. At the limit, the meter turns red, and chats stop answering until the next month. Every provider key also has its own monthly pool cap, shared by every account billed to it. A key saved without one is held to the platform default.
Check
- Read the meter on the AI Agents screen.
- Read the message in the chat. It says whether your organisation's allowance or the provider's pool ran out.
Fix
- Wait for the start of next month, when the allowance starts again.
- Or ask an administrator of the account above yours to raise Monthly credit limit, or to add credits for this month.
- For a provider pool, ask the account that owns the key to raise Monthly pool cap (credits) — required on it.
A chat holds a limited number of messages. When it is nearly full, the chat says "This chat is nearly full" and how many messages are left. A single message also has a length limit; over it, the app says "That message is too long."
Fix
- Select New chat.
Answers stay faster and more accurate in a fresh chat.
- Shorten a long message, or split it into two questions.
